Create the workspace in this order#
- In Basics, set the workspace name and customer-facing business name.
- In Operations, choose how the business operates, its business type, starting setup, optional capabilities, and default Activity view.
- In Optional details, add business profile and record-keeping details if you need them.
- In Review, confirm the launch settings before you create the workspace.
Make the Operations step count#
| Setting | Why it matters |
|---|---|
| How the business operates | Selects the main lifecycle for service, project, sales and distribution, or rentals. |
| Business type | Matches the repeated operating pattern your team follows. |
| Starting setup | Supplies starter language, processes, roles, resources, views, and reports. |
| Optional capabilities | Adds reusable behavior such as inventory, assets, inspections, or recurring service. |
| Default Activity view | Decides which Activity view new operators land on first. |
| Theme mode / Color set | Carries into public-facing surfaces like the request form. |
Choose the operating model and business type that match the real lifecycle. Use the starting setup for business-specific defaults, then enable only the optional capabilities the team can operate now.
Finish setup in Workspace settings#
Open Workspace settings and check these panels:
- Identity for business profile, branding, operating setup, capabilities, and default Activity view behavior.
- Request form if customers contact you through your site.
- Payments and Integrations if money movement or syncs are part of launch.
- Compliance for accounting strictness and policy rules.
- Workspace access & API for members, custom roles, and API keys.
Add the first real records#
Before launch, create at least:
- one customer
- one vendor
- the main catalog lines in Products
- the locations, stock, or equipment those lines depend on in Assets
- one employee record if scheduling or assignments matter
- one template in Documents if you send estimates, invoices, receipts, or agreements
Test the path your team will really use#
- Create work or submit a request form.
- Confirm it appears in Activity on the right view.
- Confirm the assigned person can see it in Work or Employees.
- Generate or send the needed file from Documents.
- Confirm the money side appears in Accounting if the job affects billing, payables, or cash.
Good signs before you go live#
- The workspace opens into the right default Activity view.
- The operating model, business type, and starting setup match the business you are actually running.
- Every enabled optional capability has an owner and a real operating use.
- The first customer, vendor, catalog, and asset records are in place.
- The first employee can sign in and see the right work.
- The first document template is published if your workflow needs paperwork.
- The request form is live if the website should create work for the team.
